Guidelines for Executive Travel Safety Committee Requests

In response to the coronavirus outbreak, Emory University has indefinitely suspended all official and previously authorized travel for students and staff. These restrictions include travel for university-related activities such as teaching, study abroad, conferences, internships, research, recruiting, business meetings, and special events. Any requests for approval of international travel must be made through the Executive Travel Safety Committee (ETSC) and submitted to: global@emory.edu.

Faculty travel is permitted, with the following qualifications:

  1. Currently, most countries are subject to a CDC level 3 travel advisory notice, which, while in force, requires all Emory travelers to file requests for international travel through the Executive Travel Safety Committee (ETSC) process, outlined below. During the current phase of Return to Campus for Research, faculty returning from international travel will be required to contact the COVID-19 Hotline for screening for the SARS-CoV-2 virus and COVID-19 prior to returning to campus. Faculty will be required to follow any resulting restrictions.
  2. In the event that any travel might result in the subsequent need to quarantine during times that would make it difficult for faculty to fully perform their duties, the deans shall have the authority to impose specific limitations.

Any requests for approval of international travel must be made through the Executive Travel Safety Committee (ETSC) by following these instructions:

Requests should include:

  1. The names of all proposed travelers and their Emory affiliation. Student information should include stage in academic program (e.g., second-year master's student).
  2. A description of the reason for the proposed travel.
  3. Itinerary information, including expected trip dates, planned destination(s), and anticipated activities.
  4. An explanation of why the proposed travel is essential and the steps taken to mitigate its potential risks.
  5. A letter of support from the relevant dean, executive vice president, senior vice president, or their designee.

Additional information may be requested. Faculty should submit requests directly. Staff requests must be submitted by the applicable executive vice president or senior vice president, or their designee. Student requests must be submitted by the student's dean.

Submit the request for international travel by emailing the information above to the Executive Travel Safety Committee (ETSC).

If you have any questions about these submission requirements, please contact the Office of Global Strategy and Initiatives (GSI) at 404-727-7504 or global@emory.edu.
